Mountain View Pain Center is a premier multidisciplinary pain management group committed to helping patients restore function, improve wellness, and live pain-free. We are seeking a Front Desk Lead to join our team and help oversee the smooth and efficient operations of our clinic’s front desk.
Position Summary
The Front Desk Lead plays a key role in ensuring the front office runs efficiently and professionally. This position supports the Office Manager in training and mentoring staff, monitoring workflows, addressing patient concerns, and maintaining accurate scheduling and records. The Front Desk Lead is also responsible for ensuring policies and procedures are followed while creating a positive patient experience.
Essential Duties & Responsibilities
- Assist in training new front desk employees and monitor progress during the 90-day training period.
- Provide ongoing guidance to existing front desk staff by answering questions, supplying resources, and offering feedback to improve efficiency and office flow.
- Report employee performance concerns to the Office Manager and assist in developing corrective action plans when needed.
- Handle patient complaints and escalate to the Office Manager when appropriate.
- Monitor provider schedules to ensure appointments are booked correctly and resolve scheduling errors.
- Audit intake paperwork to confirm accuracy of demographic and registration information.
- Manage clinic voicemail and info email inbox; respond, route, and follow up as needed.
- Monitor recall lists to support patient retention and appointment volume.
- Accept incoming packages, process invoices, and notify accounting of missing invoices.
- Assist with cash, mail, and shred pickups.
- Answer incoming phone calls via the call queue and complete reminder calls for conservative providers.
- Track and manage office supply needs; place Staples orders twice monthly.
- Maintain a clean and organized reception area.
- Travel to other clinic locations for coverage when necessary.
- Perform additional administrative projects as assigned by the Office Manager.
Qualifications
- High School Diploma or equivalent required.
- Prior customer service experience required; healthcare office experience preferred.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Proficiency with computers and typing.
- Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment.
- Ability to maintain confidentiality with sensitive company and patient information.
- Critical thinking and problem-solving skills.
- Ability to work independently with minimal supervision.
- Willingness to travel to nearby clinic locations as needed.
Compensation & Benefits

Pay Range: $19.50 – $20.50 per hour (based on experience)
